Disclosure Scotland advises Registered Bodies to devise some form of Disclosure application tracking.  The tracking form should be designed to allow you to comply with the requirements of the Code of Practice and should include details of the applicant, dates of the various stages of the application process, application and Disclosure numbers, countersignatory details, positions applied for and recruitment decision.

You may find the attached suggested tracking form useful.  It can, of course, be adapted for your own purposes.


Paragraph 31 of the Code of Practice's Explanatory Guide places a duty on Disclosure Scotland to carry out compliance checks (audits) in order to satisfy itself that those receiving Disclosure information are behaving responsibly and using the information provided in accordance with the Code, the Guide and the law.  This will necessitate Disclosure Scotland Compliance staff visiting the premises of Registered Bodies and meeting with Registered Persons.

Once we've identified a Registered Body we wish to visit, the Lead signatory (or his/her authorised representative) will be contacted and advised of this.  A time and date for the visit will be agreed between the Registered Body and Disclosure Scotland and the Registered Body will be provided with a copy of our Compliance Audit pre-visit checklist.
